How to let your AI answer “where is my order?” without a human
Connect Shopify to Convo360, switch on order answers, and the bot replies to order questions with the real status and tracking link pulled from your store. It matches the customer by the number or email they are writing from, so nobody ever sees somebody else's order, and it hands anything unusual to a person.
- WISMO (where is my order) is usually the single biggest queue in a D2C support inbox.
- The answer already exists in your store, so a human reading it out adds delay, not value.
- Match the customer by the channel they write from; an order number alone is not proof of ownership.
- Keep refunds, cancellations and wrong-item complaints with a human.
Why this one question eats your support day
Look at a week of messages for any Indian D2C brand and the same sentence keeps coming back: where is my order. It arrives as "order kab aayega", as "#1043 not delivered", as a screenshot of a courier page nobody can read. The answer is never difficult. It is sitting in Shopify, two clicks away.
What it costs you is switching. An agent leaves the chat, opens the admin, searches by phone or email, reads the fulfilment status, finds the tracking link, comes back and types it out. Ninety seconds of work, repeated eighty times a day. Meanwhile a genuine problem, a wrong size or a damaged box, waits behind it in the queue.
That is the case for automating it: not that the answer is hard, but that a person adds nothing between the store and the customer.
There is a second cost, quieter than the first. Agents who spend their day copying tracking links stop reading carefully. By the fortieth identical message the brain is on autopilot, and that is exactly when somebody misses the line that says the box arrived crushed. Repetition does not just take time, it takes attention away from the messages that needed it.
What a good automated answer looks like
A weak version replies with a tracking number and leaves the customer to work it out. A good one reads like a person who checked:
- What they ordered, in their words, not SKU codes.
- Where it has actually reached: paid, packed, shipped, out for delivery.
- The tracking link, clickable.
- An honest hand-off when the answer is not good news.
The last point matters most. If a parcel has been stuck for four days, an automated "it is on the way" is worse than no reply. The bot should say what it can see and offer a person.
Length matters too. Two short sentences beat a formatted block with six fields. The customer wants to know one thing, and burying it under Order ID, Payment Status, Fulfilment Status and Courier Partner makes them read four lines to find it.
A practical test: read the reply out loud. If it sounds like a database row rather than a colleague who just checked, rewrite the system prompt for that agent until it does not.
Setting it up on Convo360
Two things have to be true: your store is connected, and the feature is on.
- Go to Integrations and connect Shopify with your store domain and an Admin API token that can read orders and customers.
- On the same panel, leave Let the AI answer “where is my order?” ticked. It is on by default once the store is connected.
- Make sure the agent handling that channel is an AI agent, not a guided bot. Guided bots never call a model, so they cannot phrase an answer.
There is nothing to write into the prompt. When a customer asks about an order, Convo360 fetches their orders and hands them to the model as fact, so the reply carries the real status and cannot be invented. Full steps are in the integrations docs.
A word on which agent handles the channel. Convo360 supports two kinds: guided bots, which follow a flow and never call a language model, and AI agents, which do. Order answers need an AI agent, because the reply has to be composed from the order rather than picked from a fixed list. If your WhatsApp number is currently on a guided bot, either switch it or add an AI step for the questions your flow does not recognise.
It is also worth setting the agent's fallback message. That is what the customer hears if your AI provider has an outage, and the default is deliberately bland. Something like "I'm having trouble reaching our system right now, let me get a colleague" keeps the conversation honest during the ten minutes a year it matters.
The part everyone gets wrong: who is allowed to see an order
Order numbers run in sequence. If your bot answers anyone who types #1001, a curious visitor can walk your entire order book and read other people's items, addresses and tracking links. That is a data leak, not a feature.
Convo360 uses two rules instead:
| Situation | What the bot does |
|---|---|
| Customer writes from the number or email that placed the order | Shows their recent orders straight away |
| Customer gives an order number only | Refuses, and asks for the email or phone used at checkout |
| Order number plus matching email or phone | Shows that one order |
| Website visitor with no identity yet | Asks for both before looking anything up |
It is the same check your own order-status page makes, and it costs the honest customer one extra line.
Phone formats are the other half of this. Indian numbers get stored in at least four shapes, and a strict comparison will match perhaps two of them. Convo360 compares the last ten digits, which handles +91 98765 43210, 09876543210 and 9876543210 alike. If your store also holds international customers, check a few of those by hand, because a ten-digit comparison behaves differently outside India.
What to keep with a human
Automating the answer is not the same as automating the relationship. Keep a person on anything where the customer is already unhappy: refunds, cancellations after dispatch, a wrong or damaged item, a courier that has gone quiet for days.
The practical way to do this is a support queue. With the Support Desk add-on, order questions get answered and closed by the bot, and anything it declines opens a ticket with an owner and a reply deadline. Your team then sees a short list of real problems rather than a wall of WISMO.
Measure it after two weeks. Count how many conversations mentioned an order and how many reached a human. If that second number has not fallen by half, your matching is probably failing, and the usual cause is phone numbers stored in a different format in Shopify.
One more habit worth building. Read ten bot replies a week yourself, chosen at random rather than the ones your team flags. Flagged conversations are the ones that went wrong loudly. The ones that went wrong quietly, where the customer read a technically correct answer and gave up, only show up when you go looking.
Step by step
- Connect your Shopify storeIntegrations → Shopify → enter your store domain and Admin API access token, then use Test connection.
- Leave order answers switched onOn the same panel, keep 'Let the AI answer where is my order?' ticked. It is on by default once the store is connected.
- Point the channel at an AI agentGuided bots never call a model. In Agents, make sure the agent on that WhatsApp number or widget is an AI agent.
- Test from a real customer numberMessage your own WhatsApp number with 'where is my order' from a number that has placed an order, and check the status and tracking link are right.
- Send the rest to a queueSwitch on the Support Desk add-on so refunds, cancellations and complaints open a ticket instead of sitting in the chat.

Frequently asked questions
Does this work on WhatsApp and on my website?
Yes. It works on any channel the agent runs on, including WhatsApp, Instagram, Telegram and the website widget. On WhatsApp the customer is already identified by their number, so the answer usually comes with no extra questions.
What if the customer's phone number is stored differently in Shopify?
Convo360 compares the last ten digits, so +91 98765 43210, 09876543210 and 9876543210 all match the same customer. If nothing matches it asks for the order number and the email used at checkout.
Can the bot make up a delivery date?
No. It is given the real order as fact and told to answer only from it. If your store does not hold a promised date, the bot will not offer one, and will pass the question to your team instead.
Do I need the Support Desk add-on for this?
No. Order answers are part of the ordinary AI agent. The Support Desk is only needed if you want the leftover questions to become tracked tickets with owners and reply deadlines.
Does this cost extra per answer?
The store lookup is free. The reply itself uses your own AI key like any other message, so you pay the model provider directly at cost. There is no per-message markup from Convo360.
What about WooCommerce or a custom store?
Shopify is supported today. For other stores you can achieve the same thing with a flow that calls your own order API through the API Request block and feeds the result into an AI reply.
